Common Questions
How far in advance should we book?
For weddings and larger private events, we recommend reaching out as early as possible, especially for peak-season dates, Saturdays, holiday weekends, and mountain or destination events. Many couples and planners book several months to more than a year in advance, but it’s always worth checking availability, even if your event date is coming up sooner.
What parts of the wedding day can WhiteWater Ramble cover?
WhiteWater Ramble can support one part of the day or the full wedding experience. Common services include live ceremony music, ceremony sound support, roaming acoustic cocktail hour, dinner or transition playlists, full-band reception music, and late-night DJ/Spotify-style playlist support after the band.
Some couples book us for the reception only, while others use WWR throughout the day so the music feels connected from the ceremony through the final song.
Can we choose songs from your master song list?
Yes. Our master song list is the main starting point for shaping your event music. As part of our approach, we ask clients to go through the list and highlight or redline around 30 songs that stand out — songs you love, songs you definitely do not want, and songs that help us understand your overall taste.
You do not need to build the full set list. Your selections help us understand the lane, but WWR makes the final judgment on what fits into the set list framework based on the timeline, crowd, pacing, instrumentation, and what will work best live.
The goal is to have your fingerprints on the music while still giving the band enough flexibility to read the room and keep the night flowing.
Can packages be customized?
Yes. Our packages are designed to provide a clear starting point, but many events require some customization. We can adjust based on ceremony needs, cocktail hour location, reception timing, special requests, travel, lodging, production needs, and whether you want add-ons such as featured vocals, horns, additional musicians, or late-night playlist support.
Customizations that affect staffing, performance time, travel, production, or prep time may affect the final quote.
Do you provide ceremony sound for the officiant and vows?
Yes, when ceremony sound support is included in your package. Our standard ceremony sound setup uses a single omni-directional microphone placed on a stand in front of the officiant, with the couple standing on the other side of the mic.
Because the microphone is omni-directional, it picks up sound from both sides, allowing it to capture the officiant, vows, and couple without anyone needing to hold a microphone. The mic is typically placed around chest height so it stays visually clean and does not obstruct photos.
This setup is simple, elegant, and reliable for most ceremony layouts.
What happens during band breaks?
During band breaks, we play an upbeat, danceable playlist through the sound system so the room does not go silent and the energy can continue.
We ask clients to provide about 30 minutes of set break music in advance, even though the break itself is usually closer to 15–20 minutes. Having extra music gives us flexibility if the timeline shifts, the room needs a little more time, or the break needs to stretch slightly.
We download playlists to local playback devices before the event, so we need those links ahead of time and do not rely on Wi-Fi or cell service at the venue.
Do you travel outside Fort Collins, Denver, and Boulder?
Yes. WhiteWater Ramble is based along the Fort Collins / Denver / Boulder corridor and regularly travels throughout Colorado and beyond.
We are frequently in mountain and destination areas such as Aspen, Vail, Steamboat, Salida, Durango, Crested Butte, and Telluride, and we also travel outside Colorado for events in places like Moab, Jackson Hole, Bozeman, Sun Valley, and other destination locations. Travel requirements are factored into the quote.
What is required to officially reserve our date?
Your date is officially reserved once we have a signed agreement and 50% deposit in place. Until both the contract and deposit are received, the date is not fully confirmed and availability can change.
Before we prepare the agreement, we’ll send a questionnaire to collect as many event details as you currently have, including your preferred package, event location, estimated timeline, and key service needs. Some details may still be listed as TBD or to be confirmed with the finalized timeline, and that’s okay. Those items can be noted in the contract and finalized as planning develops.
